1. General Provisions

Freyja Travel is a licensed travel agency registered with the Icelandic Tourist Board. We specialize in bespoke tours, both domestically and abroad, for small groups and individuals. By booking a trip, the passenger confirms that they have familiarized themselves with and accepted these travel terms and conditions.

2. Prices and Payments

Tour prices are based on cash payment prices including VAT and are published subject to printing and typographical errors. Changes in price may occur due to:

  • changes in transport costs or fuel prices,
  • changes in taxes or fees,
  • exchange rate fluctuations of foreign partners' currencies.

Confirmation Fee

A non-refundable confirmation fee is payable upon booking. If a trip is booked at short notice, the trip must be paid in full at the time of booking.

Group Terms – Confirmation Fee:

In group bookings (e.g., teacher groups, companies, sports clubs, or other specially organized groups), the confirmation fee may be higher than in general tours and is often paid earlier. The amount and due date of the confirmation fee are specifically stated in the offer or contract. The confirmation fee for group bookings is always non-refundable.

Final Payment

Final payment for the trip must be received no later than 30 days before departure, unless otherwise specifically agreed. If the payment terms of partners are more extensive than the terms of Freyja Travel, those shall apply.

3. Cancellations and Refunds

Cancellations must be submitted in writing to Freyja Travel. The following refund terms apply unless otherwise specifically stated in the offer or contract:

  • More than 30 days before departure: 25% of the tour price is retained
  • 15–30 days before departure: 50% of the tour price is retained
  • Less than 14 days before departure: no refund

If the trip is part of a special group agreement (e.g., a teacher group or corporate group), other terms specified in the contract may apply.

Group Terms – Cancellations:

Stricter cancellation terms often apply to group tours. In such tours, all refunds are prohibited when 6 weeks (42 days) or less remain until departure, regardless of the reason for cancellation, unless otherwise specifically stated in a written contract.

If a passenger does not show up for departure or cannot begin the journey due to a lack of valid travel documents or other personal circumstances, they are not entitled to a refund.

4. Changes and Cancellations

If weather, accessibility, or other uncontrollable circumstances make a trip impracticable, Freyja Travel is permitted to change the schedule, route, or service according to the best possible solution. If a trip must be cancelled entirely, a full refund or a comparable trip is offered, as applicable.

Freyja Travel reserves the right to cancel a trip if minimum participation is not met. In such cases, the trip is refunded in full.

5. Insurance and Liability

Freyja Travel is not liable for damage resulting from accidents, illness, delays, natural disasters, weather, or other incidents beyond the company's control. We encourage all passengers to protect themselves with medical, cancellation, and travel insurance before departure. Passengers are also encouraged to check what insurance is included with their credit cards.

6. Health, Equipment, and Passenger Responsibility

Freyja Travel's tours may require physical ability and appropriate equipment. Passengers are responsible for being in sufficiently good physical shape for participation and for informing the guide of possible health limitations. Freyja Travel reserves the right to refuse participation in individual program items if necessary for safety or circumstances.

Inappropriate Behavior and Expulsion:

Freyja Travel reserves the right to remove a passenger from a tour, without a refund, if the person is found guilty of inappropriate behavior. This applies to behavior directed at other passengers, staff, locals, animals, property, nature, or the environment, or which in any other way disrupts the safety, well-being, or execution of the trip. All costs that may arise due to such expulsion are the responsibility of the passenger.

7. Minimum Participation

Most tours take place with a minimum number of participants, which is specified in the description of each tour. If participation is not achieved, it is permitted to cancel the tour and refund participants in full.

8. Safety, Weather, and Nature Conservation

Conditions in Iceland can change rapidly. Freyja Travel's guides make decisions with passenger safety as a guiding principle. Changes to the itinerary due to weather, rising water levels, or closed roads are not considered significant changes and do not grant a right to a refund. Passengers shall respect nature and follow the instructions of guides regarding driving, hiking, and conduct in sensitive areas. Serious violations of rules regarding safety, nature conservation, or the instructions of guides can lead to immediate expulsion from the trip without a refund.

9. Photos and Communication

Photos taken on group trips may be used in Freyja Travel's promotional material, unless a passenger specifically requests otherwise. We emphasize positive and solution-oriented communication. If a problem arises during a trip, the guide or Freyja Travel's office should be contacted immediately. Complaints must be submitted in writing within 30 days of the end of the trip.

10. Privacy

Freyja Travel respects the privacy of its customers. Personal information is only used to provide services, send necessary information, or newsletters if the passenger has consented to such. Information is never provided to third parties.

11. Law and Jurisdiction

Icelandic law applies to Freyja Travel's contracts and terms. The legal venue is Reykjavík.

12. Special Provisions for Trips Abroad

Freyja Travel regularly organizes trips abroad in cooperation with foreign parties, such as hotels, bus companies, schools, and guides.

Partners and Liability: The services of foreign partners fall under their responsibility according to the laws and customs of the respective country. Freyja Travel is not responsible for errors or defaults attributable to such parties, except when the company itself has failed in its duties.

Flights and Transportation:

All timings are estimated and may change due to weather, delays, or technical reasons. Freyja Travel is not responsible for damage or delays resulting from such, but will assist passengers to the best of its ability.

Refunds due to changes by partners:

Refunds take place in accordance with the terms of the respective partner and are mediated forward as they are received, minus possible transfer or currency costs.

Applicable Law:

Regarding services performed abroad, the laws and regulations of the respective country apply as appropriate, in addition to Icelandic laws on package tours and related travel services.
